Steel Frame Acceptance Checklist for Site Managers

t483-49

t483-49

A steel frame acceptance checklist is a set of checks a site manager runs on delivered steel frames before signing the delivery note. It covers dimensions against the approved drawing, finish quality, fixings and hardware, and documentation, so defects are recorded while the supplier can still correct them.

Why Inspect Steel Frames Before Signing

Once a delivery note is signed, the burden of proof shifts to you. Steel frames are heavy, hard to move and often installed in tight sequences, so a defect found on site can delay the whole trade that follows. Inspecting at the point of delivery, while the truck is still there and the driver can wait, is the cheapest moment to catch a problem.

Compare each frame against the approved drawing and the written specification, not against memory of what was discussed. If the drawing was revised after the first approval, make sure the version in your hand is the one the factory produced to.

Check Dimensions and Squareness

Measure the overall width and height of each frame and compare them with the drawing. Check both diagonals; if they differ noticeably, the frame is out of square and will likely fight the opening during installation. Confirm that openings for glass, panels or hinges match the specified sizes.

  • Overall width and height against the drawing
  • Diagonal measurements for squareness
  • Position of anchor points and fixing holes

Small tolerances are normal in fabricated steel, but the acceptable limits should be stated in your contract. Where you are unsure, confirm with the engineer before accepting.

Inspect Welds, Joints and Structure

Look closely at every weld and joint. Welds should be continuous where specified, free of visible cracks, excessive spatter and undercut, and should not show signs of being ground through to hide a defect. Corners should meet cleanly, with no gaps that would be visible or that could trap water.

Check that members are straight and not twisted. Sight along each bar and rail. A bent member may look minor in the yard but will show clearly once the frame is set in the opening.

Verify Surface Finish and Coating

Confirm the finish that was ordered: hot-dip galvanizing, powder coating or another system. Look for even colour and gloss, and check for runs, bubbles, orange peel, bare patches or rust spots. Edges and corners are where coatings most often thin out, so look there carefully.

Handle the frames gently and watch for scratches from transport straps or stacking. Touch-up is sometimes possible on site, but agree on the method and the responsible party before the frame is accepted.

Check Fixings, Hardware and Accessories

Count the fixings, brackets, hinges, locks and any loose parts against the delivery list. Missing screws or anchors cause delays that are often blamed on the installer. Make sure hardware is the correct type and finish for the frame it belongs to.

Test any moving parts while the frame is still on the truck or on the ground. Gates should swing freely, hinges should not bind, and locking points should engage properly.

Document Defects and Sign Off Correctly

Record any defect on the delivery note before signing, with a short description and a photo. Note the frame identification mark, the date and the time. Signing a clean note while knowing about a defect can weaken your position later.

If a frame is clearly unacceptable, refuse it in writing and agree on a replacement date. If the defect is minor and can be corrected on site, write down exactly what was agreed and who will carry it out.

Frequently asked questions

Who should carry out the steel frame acceptance checklist?

The site manager or a delegated representative should inspect each frame before the delivery note is signed. Involve the installer if possible, since they will be the first to notice fit problems.

Can I check a frame after I have signed for it?

You can, but it is harder to prove that a defect came from the supplier. Inspecting before signing gives you a clear record and a stronger basis for a replacement or correction.

What tolerances are acceptable for steel frames?

Acceptable tolerances should be defined in your contract or specification. Where the limits are unclear, confirm them with the engineer rather than relying on general assumptions.

Should I take photos during the inspection?

Yes. Photos of each frame, close-ups of any defect and the delivery note marked with the issues give you clear evidence if a dispute arises later.

Common mistakes to avoid

Signing the delivery note before measuring and inspecting each frame is the most common error. Accepting a frame with a known defect on the assumption it will be fixed later also causes many disputes.

Our recommendation

Carry a tape measure, a square, a torch and a camera to every delivery, and inspect frames while the driver is still present. Write every defect on the note before signing and agree a correction date in writing.

Summary

A steel frame acceptance checklist protects you by catching dimensional, finish, fixing and documentation problems at delivery. Inspect thoroughly, record everything and sign only when the frames match the approved drawing.
